This policy describes what information we collect when you use our website (the "Site") or our services, how we use it, with whom we may share it, and what your rights are. We only collect information necessary for the purposes described in this policy.

Information you provide to us

• Site forms (contact, partnership): name, email address, type of inquiry, and the content of your message, as well as any other information you choose to include (such as your phone number).
• Appointment booking and assessment: your contact details, your availability, and the information necessary for your assessment and treatment plan, including information regarding your health, medical history, and the condition of your hair or scalp. This information is considered sensitive and is only collected with your express consent.
• Treatment tracking: follow-up notes and, with your consent, photographs used to document the progress of your results.
• Partner Program: if you represent a salon or barbershop, your establishment's name, your professional contact details, and the information required to manage the partnership and commissions.

Automatically collected information

When you browse the Site, certain technical information may be collected through cookies or similar technologies: IP address, device and browser type, pages visited, and the date and time of your visit. See the "Cookies" section below for more information.

3. Why we use your information

We use your personal information for the following purposes:

• respond to your requests for information and communicate with you;
• schedule your appointments, conduct your assessment, and provide you with a personalized treatment protocol;
• track your treatments and results;
• manage the partner program, including linking a referred client to the partner establishment and calculating commissions;
• improve the Site, our services, and your experience;
• send you communications about our services and promotions with your consent (you may withdraw this consent at any time);
• comply with our legal and regulatory obligations.

We do not use your information for other purposes without your consent, except where permitted or required by law.

As a general rule, we collect your personal information with your consent, which you provide, for example, by filling out a form, booking an appointment, or providing us with information. When sensitive information is involved, such as health-related information, we obtain your express consent. You may withdraw your consent at any time, subject to legal or contractual restrictions, by contacting us. However, withdrawing your consent may prevent us from providing you with certain services.

5. Sharing your information

We do not sell your personal information. We may only share it in the following cases:

• Service providers: companies that help us operate the Site and our services (web hosting, messaging, appointment booking, payment processing, management tools). These providers only have access to the information necessary to perform their mandate and are required to ensure its confidentiality.
• Partner establishments: if you were referred by a partner salon or barbershop, we may inform them that a referred client has begun their RACINE journey in order to manage the partnership. No information regarding your health or treatments is shared with partners.
• Legal obligations: when required by law, for example, in response to a court order or a request from a competent authority.

6. Hosting and communication outside of Quebec

The Site is hosted by Webflow, whose servers are located outside of Quebec, notably in the United States. Information submitted through the Site's forms may therefore be stored outside of Quebec. Before transferring personal information outside of Quebec, we conduct the privacy impact assessment required by law and ensure that such information receives adequate protection, including through contractual commitments.

7. Cookies

The Site uses cookies that are strictly necessary for its operation (for example, to ensure the security and proper functioning of forms). With your consent, we may also use audience measurement cookies to understand how the Site is used and to improve it. You can configure your browser to refuse cookies or to be notified when a cookie is placed; however, some features of the Site may not function correctly as a result.

• Access: obtain confirmation that we hold information about you and receive a copy of it;
• Rectification: have inaccurate, incomplete, or ambiguous information corrected;
• Withdrawal of consent: withdraw your consent to the use or disclosure of your information;
• Cessation of dissemination and de-indexing: request, in cases provided for by law, that we stop disseminating your information;
• Portability: receive the computerized information you have provided to us in a structured, commonly used technological format;
• Complaint: file a complaint with the Commission d'accès à l'information du Québec or the Office of the Privacy Commissioner of Canada.

To exercise your rights, please write to the Privacy Officer at the contact information provided above. We will respond to your request within 30 days of receipt. We may ask for proof of identity before processing your request.

11. Information regarding minors

We do not knowingly collect personal information from individuals under the age of 14 without the consent of a parent or legal guardian. If you believe a minor has provided us with information without such consent, please contact us so that we may delete it.
